We will tell you how AI was used
We use AI carefully, in a way that supports our lawyers and accountants rather than replacing their judgement. Used well, it helps us run matters more efficiently and keep things moving. Used poorly, it creates real risks, and we treat those risks seriously.
This page explains how we approach AI, what we use it for, what we will not use it for, and the commitments we make to you about how your information and your matters are handled. It covers both sides of the firm: our legal practice and our accounting practice.

What We Use AI For?
The work is different on each side of the firm, so the tools are used differently too. In every case a person reviews the output before it goes anywhere near you.
In our Legal work
- Legal research, and identifying cases or legislation to then read and verify ourselves
- Summarising long documents and working through large volumes of material
- Drafting first cuts of correspondence, agreements and pleadings
- Building chronologies, file notes and document indexes
- Proofreading, formatting and other routine administrative work
In our Accounting work
- Summarising and cross-checking source documents and workpapers
- Research on tax and accounting positions, which we then verify against the primary source
- Drafting first cuts of client correspondence, letters of advice and engagement material
- Reviewing our own work for internal consistency and missing items
- Routine data handling, formatting and reconciliation support
Where we stop. We do not use AI to form professional judgements, to settle a tax position, to sign or lodge anything, or to produce advice that reaches you without a lawyer or accountant reviewing it and taking responsibility for it. The advice is ours, not a tool’s.
The Tools We Currently Use
We are naming these because a transparency page that will not name anything is not really transparent. This list is not exhaustive and it will change as we assess and adopt new tools.
NetDocuments
Connected to our AI tools so matter documents stay inside a system we control rather than being copied elsewhere. This means client material is only ever accessed through channels the firm has assessed, keeping things consistent and traceable across the firm.
Microsoft 365 Copilot
Drafting, summarising and search within our own Microsoft 365 environment, under our firm tenancy rather than a consumer account.
Claude
Longer-form research, document analysis and drafting assistance, including work connected to our document management system so that material stays within systems we have assessed.
NotebookLM
Interrogating and summarising a defined set of documents we have already gathered for a matter, where answers are grounded in those documents rather than the open internet.
We select AI services on business or enterprise terms under which the provider does not use our inputs to train its general models, and we review those arrangements as part of assessing any new tool. Before any tool is used on client work it is assessed against our confidentiality, accuracy and security standards.
Our Commitments To You
Six commitments that govern how AI is used on every matter at Greenhalgh Pickard, on both the legal and the accounting side.

A Person Is Always Responsible
Every document and every piece of advice that leaves this firm is the responsibility of the lawyer or accountant acting on your matter. We treat AI output as a first draft that a lawyer or accountant reviews before it goes anywhere. Our professional obligations to you are unchanged by the tools we use.

Your Information Stays In System We Control
Client files are held in our document management system. We do not enter client information into free or consumer versions of public AI chatbots. Where AI is used on client work, we use business or enterprise services we have assessed against our internal AI use policy.

Nothing Goes Out Unverified
AI tools can produce confident answers that are wrong, including cases and legislation that do not exist, so every citation, calculation and factual reference is verified against the primary source before it goes out the door.

We Follow Each Court’s Current Rules
Where we act in a matter before a court or tribunal, we follow that court’s current requirements on the use of AI, including any disclosure or certification requirements. Those requirements differ between courts and are changing, so we check them for each matter.

Time Saved Goes Back Into Your Matter
AI helps us move through routine work faster, so more of our time goes to the parts of your matter that genuinely need professional judgement. We bill for the time we actually spend, not the time the work would have taken without these tools.

Our People Are Trained
Everyone who uses AI in this firm has been trained on what it is good for, where it fails, and what must never be put into it. New tools are assessed and approved before anyone uses them on client work.
Your Matter, Your Choice
Transparency is not much use if it only runs one way. Two things you can do at any point:
Ask us
If you would like to know whether and how AI has been used on your matter, ask us and we will tell you. You do not need a reason and it will not change how we act for you.
Opt Out
If you would prefer we did not use AI tools on your matter at all, tell us. We will note it on your file and talk through what it means for timing and cost.
